Title: Is Your Office Wi-Fi HIPAA Safe? A Quick Guide for Medical & Dental Practices
At NerdSquad, we understand that medical and dental practices face unique challenges when it comes to cybersecurity. In this installment of our “2-Minute Tech Fixes” video series, our CEO walks through how to quickly assess whether your office Wi-Fi network meets HIPAA compliance standards — especially if your setup was DIY’d or managed by a non-specialist.
Spoiler: If you’re still using the default router from your internet provider, it’s time for a checkup.
Also, before we get started, it should be mentioned that WiFi is never 100% percent infallible and if ever at all possible, transmit secure or sensitive data over wired infrastructure!
Section 1: What to Look for in a HIPAA-Safe Wi-Fi Network
We break down the real-world process we use when auditing office Wi-Fi environments. Key takeaways:
1. Don’t Use Default IPs & Passwords
Change the default IP range (e.g., 192.168.0.1) to a custom private address.
Replace all default admin passwords — immediately.
2. Encryption Matters
At minimum, you need WPA2. Ideally, upgrade to WPA3.
If you see WEP or “Open,” your data is exposed.
3. Hide Your Internal SSID
Hide your primary Wi-Fi name. While not foolproof, it’s a basic best practice.
Use separate SSIDs for employees and guests.
4. Segregate Guest & Internal Networks
Guests and employees should not be on the same network as your patient systems.
Use VLANs or a dedicated firewall/router to isolate traffic.
5. Review Logging & Monitoring
Your network hardware should log activity for at least several months.
Logs should be actively monitored or sent to a SIEM for threat detection.
6. Physically Secure Network Equipment
Ensure routers, access points, and switches are not accessible to the public.
Update firmware regularly.
7. Use a Password Manager with Passkey Support
Avoid traditional passwords — use passwordless authentication like Duo, Microsoft Authenticator, or Google Authenticator.
Section 2: Bonus Tips from the NerdSquad Playbook
Wire it if you can. Ethernet connections are more secure and more reliable.
Throttle bandwidth for guest networks so critical equipment gets priority.
Upgrade your hardware. You don’t need enterprise gear — even a $200 upgrade can drastically improve security.
Document your network. Know what connects where and who has access.

David Coleman focuses on the side of IT that businesses can't afford to overlook: security. He works with NerdSquad clients to assess vulnerabilities, tighten access controls, and build response plans for the day something does go wrong, because in his view, it's a matter of when, not if. David keeps a close eye on emerging threats and translates that awareness into practical safeguards for small businesses that don't have an in-house security team. His approach favors layered protection over any single silver-bullet tool.
