HIPAA Compliance for Golden Gate Clinics and Mobile Care Teams
HIPAA compliance in Golden Gate often happens in a car, a client's living room or a spare bedroom with a laptop. As a Managed Service Provider (MSP) a few miles away in Naples, we secure the devices and tools that clinics, therapists and home-health teams carry wherever the care happens.
Our job is the technical safeguards and the paperwork that proves them; compliance remains your organization's responsibility. It's part of our IT support in Golden Gate and our IT compliance services.
Devices that leave the clinic, secured
Laptops
Encrypted and managed
Full-disk encryption, automatic screen locks and remote lock or wipe if one goes missing from a car. Each laptop shows up in your device inventory.
Phones & tablets
Work data in a work container
Managed phones keep charting apps, email and photos of wound care separate from personal apps, and work data can be wiped without touching family photos.
Home offices
A secure path to patient data
Business devices on a separate home network or protected connection, a router password changed from the default and firmware kept current.
BAAs that cover your actual tools
Mobile teams tend to collect apps: scheduling, e-signatures, telehealth video, messaging, cloud storage. Any of them that store or transmit PHI need a signed Business Associate Agreement, or they shouldn't touch PHI.
An inventory of every app staff use with patient data
A check of which vendors offer and have signed a BAA
Replacements for consumer tools that can't be covered
Our own BAA, signed before we access your systems
Microsoft 365 or Google Workspace?
Both offer a BAA for covered services when configured properly. We set up Microsoft 365 or Google Workspace with encryption, MFA and sharing limits so the agreement means something.
Mobile care across Collier and Lee
Home-health and therapy teams don't stay in one zip code. Clinicians based in Golden Gate often see patients in Naples, Immokalee and beyond, and the same device controls follow them everywhere.
Tap Naples or Lee County for our other HIPAA pages; every other pin leads to that city's IT support page.
Getting a mobile care team in order
Inventory
Every device, app and home network that touches PHI, including the personal phone someone "only uses for scheduling."
Risk analysis
We document the risks of care delivered outside the clinic and rank what to fix first.
Secure and enroll
Encrypt laptops, enroll phones, enable MFA and move staff onto covered tools.
Train for the field
Short sessions on lost devices, public Wi-Fi and talking about patients where others can hear.

HIPAA questions from Golden Gate care teams
A clinician lost a work laptop. Is that a breach?
It depends. If the laptop was encrypted to HHS guidance and the key wasn't compromised, it's generally not a reportable breach. If not, assume it may be and act quickly. Call us at 239-465-0079 to lock and wipe it and document what happened.
Can therapists use their personal phones?
Only with safeguards: a managed work profile, a passcode, encryption and approved apps. Otherwise PHI ends up in personal texts and photo libraries that you can't control or wipe.
Is regular Zoom or FaceTime OK for telehealth now?
The pandemic-era enforcement discretion for consumer video tools ended in 2023. Use a telehealth platform whose vendor will sign a BAA, and configure it properly.
Do we need to secure staff home Wi-Fi?
If staff access PHI from home, yes. A changed router password, current firmware and keeping work devices separate from family devices are the minimum. We include home setups in your risk analysis.
