AI Implementation Services: Hire AI the Way You’d Hire a Person
You wouldn’t hand a new hire the keys to everything on day one. Don’t do it with AI either.
NerdSquad Managed IT Services helps Southwest Florida businesses put AI to work safely: picking the right tools, cleaning up who can see what, connecting AI to the systems you already use and training each role. We’re a Managed Service Provider (MSP), so your AI gets secured and supported like everything else on your network.

01 · Where things stand
AI is already in your office. Most of it just isn’t set up.
Staff are trying AI tools on their own, software vendors keep switching on new AI features, and plenty of small businesses haven’t decided what any of it is allowed to touch. Here’s what the numbers say.
17–20%
of U.S. businesses reported using AI between December 2025 and May 2026.
33.9%
of finance and insurance businesses reported using AI, well above most other sectors.
20+
employees: the size where AI use grew. Among smaller firms it held flat.
Why AI projects stall in small businesses (it’s usually IT, not AI)
🔑
Messy permissions
An AI assistant can see whatever the person using it can see. If shared folders are wide open, so is the AI.
🔌
Systems that don’t talk
AI writes a great summary, then someone copies it into the CRM by hand. The time savings disappear.
📜
No rules
Without a written policy, staff paste client details into personal accounts on free tools. Nobody knows it happened.
🛟
Nobody to support it
The tool gets set up, breaks or changes three months later, and there’s no one to call. It quietly stops being used.
Those are exactly the problems a Managed Service Provider fixes every day, which is why AI belongs with your IT partner, not in a drawer of unused subscriptions.
02 · The onboarding file
How we implement AI: the same way you’d onboard a new employee
Every AI rollout gets its own job description: who it reports to, what it can open, what it can’t, and what needs a person’s sign-off. Most businesses start with one task and one team, prove it works, then expand.

Form AI-00
The interview
We sit down with the people doing the work and find the tasks that eat hours: rekeying, sorting, summarizing, chasing.
Form AI-01
Job description
Pick one task, write down what “done” looks like and how we’ll measure the time it saves.
Form AI-02
Background check
Compare the AI already inside your software, Microsoft 365 options and purpose-built tools. Read the data terms. License only the seats that will use it.
Form AI-03
Key card
Tighten permissions in shared drives, mailboxes and apps first, so AI never surfaces payroll, HR files or contracts to the wrong person.
Form AI-04
Desk setup
Connect AI to where work already happens: shared inboxes, scan folders, your CRM and accounting system, so results land in the right place.
Form AI-05
Employee handbook
A written AI use policy, data loss prevention rules, MFA, activity logging and retention settings that fit your industry.
Form AI-06
Training
Short sessions by role: what to hand to AI, what to double-check and what never goes into a prompt.

What AI can take off your team’s plate
Practical, boring, valuable. These are the jobs AI handles well in a small office, and where a person stays in charge.
Now hiring
Front office
AI does
Sorts the shared inbox, drafts replies and appointment reminders, routes requests to the right person.
A person still
Approves anything that goes to a client.
Now hiring
Billing and bookkeeping
AI does
Reads invoices and receipts and fills in your accounting system, then flags anything that doesn’t match.
A person still
Approves every payment.
Now hiring
Client meetings
AI does
Takes notes, writes the summary and follow-up tasks, and updates the CRM.
A person still
Edits the summary. Records are kept under your retention policy.
Now hiring
Operations paperwork
AI does
Reads forms, intake packets, delivery receipts and contracts and enters the data where it belongs.
A person still
Reviews the exceptions AI flags.
Now hiring
Reporting
AI does
Pulls weekly summaries from your own data: sales, open tickets, aging invoices, schedule gaps.
A person still
Decides what the numbers mean.

Your playbook
AI does
An internal assistant that answers “how do we do this?” from your own procedures and documents.
A person still
Keeps the procedures current.
04 · By industry
AI that follows the rules of your industry
The difference between a time-saver and a data leak is usually the setup. Each industry page goes deeper on the software and rules involved.
Financial services
Meeting notes with retention and review rules your compliance officer can check.
Medical and dental
Dictation and note help only through tools that sign a BAA. Never a consumer chatbot with patient data.
Law firms
Drafting and research help in business tools you control, set up with confidentiality in mind.
Real estate
Listing descriptions and follow-up drafts with human review, and no client financials in public tools.
Retail
Product copy, inventory forecasts and schedule drafts, with cardholder data kept far away.
Construction
RFI and submittal drafts and daily-report summaries built from field notes.
Manufacturing
Work-instruction drafts and maintenance-log summaries, clear of systems that hold controlled data.
Logistics
Rate confirmations, BOL data entry and status emails, with a person checking before money moves.
Small business
One practical AI win at a time, set up and supported by the same team that runs your IT.

05 · The employee handbook
The house rules every AI tool follows
Good AI governance isn’t a 40-page binder. It’s a short list of rules your team actually remembers, backed by settings that enforce them.
Only approved, business-grade AI tools, signed in with company accounts
Client SSNs, card numbers, passwords and patient data never go into a prompt, unless the tool is approved for that data
A person approves anything that sends money, contacts a client or touches regulated data
AI only sees what the person using it is allowed to see
Activity is logged and kept as long as your records policy requires
When someone leaves, their AI access leaves with them
Where the regulations come in
⚕
HIPAA
Patient data only goes to AI tools whose vendor signs a business associate agreement (BAA), with access limited to the minimum necessary.
📈
SEC and FINRA
AI meeting transcripts and summaries can count as books and records. Retention and supervision get set up before the tool goes live.
🏦
GLBA and the FTC Safeguards Rule
Customer information stays in approved systems, and AI vendors get the same oversight as any other service provider.
🌴
Florida’s FIPA
Personal information that AI touches is protected like the rest of your data, because breach-notice rules don’t care which tool leaked it.
General guidance, not legal advice. We set up the technology and documentation; compliance decisions stay with you and your advisers.

AI implementation FAQ
What are AI implementation services?
AI implementation services help a business choose, set up, secure and support AI tools so they save real time without exposing data. That covers picking the right tools, cleaning up file and mailbox permissions, connecting AI to the systems you already use, writing an AI use policy, training staff and measuring the results.
Is AI safe to use with client or patient data?
It can be, with the right tool and setup. Business-grade AI tools signed in with company accounts, tight permissions, logging and the right vendor agreements (for example a BAA for patient data) make the difference. Consumer chatbots on personal accounts are a common way data leaks out, so we keep regulated data out of them.
Which AI tools do you work with?
We’re tool-neutral. Often the best option is AI already built into software you pay for, such as Microsoft 365 or your industry application. Sometimes a purpose-built tool fits better. We compare options against your task, budget and data rules and recommend what fits, including “not yet” when that’s the honest answer.
Do we need Microsoft 365 Copilot?
Not necessarily. Copilot can be very useful for businesses that live in Microsoft 365, but it respects whatever permissions you already have, so messy file sharing becomes a bigger problem. We usually clean up access first and license it only for the people who will use it.
How do you start an AI project?
With one task and one team. We find a task that eats hours every week, set a simple measure of success, run a 30-day pilot with guardrails in place and review the results with you before expanding.
Will AI replace my staff?
That isn’t the goal. The point is to take repetitive work like rekeying, sorting and first drafts off people’s plates so they can spend more time with clients and on work that needs judgment. A person stays responsible for decisions, approvals and anything sent outside the business.
What is an AI acceptable use policy?
A short written policy that tells staff which AI tools are approved, what information can never go into them, when a person must review AI output and how AI activity is logged. We write one with you and back it up with technical settings so it isn’t just a document.
Can AI work with our industry software?
Often, yes, through features built into the software, standard integrations or automation that moves data between systems. We test with your real workflows before rollout, and we’ll tell you plainly when an integration isn’t worth it.
Why work with an MSP on AI instead of just buying a tool?
Because most AI problems are IT problems: permissions, integrations, security settings, licensing and support. A Managed Service Provider already manages those every day, so your AI is configured safely, connected to the right systems and supported after launch instead of abandoned.
Do you support AI tools after they’re set up?
Yes. AI tools are supported through our help desk like everything else we manage. We review results at 30 days and keep an eye on them in quarterly business reviews, adjusting or retiring tools that aren’t earning their keep.
Do you work with businesses outside Naples?
Yes. We’re based in Naples, and we work with businesses across Southwest Florida, including Fort Myers, Cape Coral, Estero, Bonita Springs and Lehigh Acres. Much of AI implementation happens remotely, with onsite visits when training or setup goes better in person.
