IT Compliance Services That Hold Up When Someone Asks for Proof

Compliance isn’t what you did. It’s what you can show.

NerdSquad Managed IT Services puts the technical controls, written policies and evidence in place for HIPAA, GLBA and the FTC Safeguards Rule, SEC Regulation S-P, PCI DSS and Florida’s data security law, then keeps them current.

What are IT compliance services?

IT compliance services put the technical controls, documentation and evidence in place that regulations like HIPAA, GLBA and the SEC’s Regulation S-P expect, then keep them current as your business and the rules change. An MSP handles the technology side. Your compliance officer, attorney or auditor makes the compliance calls.

Most small businesses don’t struggle in an exam because they skipped security. They struggle because nobody can find the proof. Was MFA really on for everyone in March? When was the last restore test? Who approved that vendor? That’s the part we fix.

We’re a Managed Service Provider (MSP) in Naples, so the controls we document are the same ones we run every day. Nothing on paper that isn’t configured in reality.

02 · The evidence locker

Pick your framework. See the evidence it usually takes.

Every framework asks for proof in its own way. Here’s the kind of evidence an examiner or auditor usually asks to see, and what we put in place for the frameworks Southwest Florida businesses run into most.

HIPAA Security Rule

For medical and dental practices and the vendors that handle patient data (PHI). The Security Rule expects a documented risk analysis and safeguards that match it.

A current security risk analysis with a remediation plan

Unique logins, MFA and automatic logoff on systems with patient data

Encryption on laptops, phones and email that carries PHI

Audit logs and access reviews for your practice software

Signed business associate agreements (BAAs) with vendors

Backups and a contingency plan you’ve actually tested

HIPAA compliance decisions stay with your practice and its privacy and security officials.

03 · Straight answers

What we will and won’t tell you about compliance

Plenty of IT companies sell “compliance in a box.” Here’s the honest version of what an MSP can and can’t do for you.

We will

Implement and maintain the technical controls your framework expects

Write and update IT policies with you, in plain English

Keep evidence organized by requirement and ready to export

Explain our controls to your auditor, examiner or insurer

Tell you plainly when something isn’t in place yet

We won’t

Tell you that you “are compliant” or issue a certificate

Replace your compliance officer, attorney or auditor

Hand you a template binder and walk away

Promise a specific exam or audit outcome

Name controls on paper that aren’t configured in reality

04 · How it works

From scramble to steady in four steps

Most firms start with an assessment, then settle into a quarterly rhythm, so the week before an exam looks like every other week.

01

Assess

Risk assessment and gap analysis against your framework, with a ranked list of fixes and the reasoning behind each.

02

Fix

We close the technical gaps: MFA, encryption, logging, backups, access reviews and anything else on the list.

03

Document

Policies, procedures and an evidence library organized by requirement, written for how your business actually runs.

04

Maintain

Quarterly compliance reviews, an annual reassessment, incident response tabletop exercises and updates when rules change.

Compliance support is built into Endpoint 360

Every plan includes the security controls auditors ask about first. Endpoint 360 adds compliance support, 24/7 security monitoring and asset lifecycle tracking. Archiving, encryption and testing are added as your framework requires.

IT compliance FAQ

What are IT compliance services?

IT compliance services put the technical controls, policies and evidence in place that regulations like HIPAA, GLBA and SEC Regulation S-P expect, and keep them current. That includes risk assessments, MFA and encryption, logging, backups, written policies, vendor management and help during audits and exams.

Can you certify that we’re compliant?

No, and you should be wary of any IT company that says it can. Certifications and attestations come from auditors and regulators, and compliance decisions belong to your business. We implement and document the technical controls and support you through audits and exams.

Does the FTC Safeguards Rule apply to my business?

It applies to many non-bank financial businesses, such as tax preparers, mortgage brokers, lenders, some investment advisers and auto dealers that arrange financing. If you collect financial information to provide a financial product or service, check with your attorney. We can help with the technical requirements either way.

What changed with SEC Regulation S-P?

The 2024 amendments require covered advisers and broker-dealers to maintain an incident response program, notify affected customers within 30 days of certain breaches and oversee service providers that handle customer information. We help build and document the IT side of that program.

What is a HIPAA risk analysis?

It’s a documented review of where patient data lives, the threats and vulnerabilities that could expose it and the safeguards in place. The HIPAA Security Rule requires one, it should be updated when systems change, and it drives your remediation plan.

What is a WISP?

A written information security program describes how your business protects sensitive information: who is responsible, which safeguards are in place, how you handle vendors and how you respond to incidents. The FTC Safeguards Rule requires one for covered businesses, and it’s good practice for everyone else.

Do financial advisers need to archive email?

Advisers and broker-dealers have books-and-records obligations under SEC and FINRA rules that typically cover business communications, including email and other messaging used for business. We set up archiving with retention and legal hold to match your policies; your compliance officer confirms the requirements.

How do you help during an audit or exam?

We pull the evidence the auditor or examiner asks for, explain how the technical controls work and document any follow-up items. Because evidence is collected throughout the year, most requests can be answered quickly.

We only take a few card payments. Does PCI DSS still apply?

Yes. Any business that accepts card payments has PCI DSS obligations, but how much applies depends on how you take payments. Encrypted payment terminals or hosted payment pages can shrink your scope considerably, and we can help you complete the right self-assessment questionnaire.

What happens if we have a breach in Florida?

Florida’s Information Protection Act generally requires notice to affected individuals within 30 days of determining a breach occurred, and notice to the Department of Legal Affairs if 500 or more Floridians are affected. We provide the technical investigation and timeline; notification decisions stay with you and your attorney.
